AI agent development in the UAE for the back-office work nobody wants to do.

An agent reads, checks and prepares the repetitive work: matching payments, chasing overdue invoices, entering orders from emails, drafting the weekly report. A person approves anything that moves money or reaches a customer.

An AI agent is software that completes a multi-step task inside your systems, such as reading a supplier email, checking it against the purchase order and drafting the entry for approval. One-task agents start at AED 9,950 and take 4 to 6 weeks. Multi-step back-office agents start at AED 29,500. Prices exclude 5% VAT.

What an agent is

Not a chatbot. A colleague for one well-defined job.

A chatbot waits for a question and answers it. An agent is given a job, such as clearing the overdue invoices list every Monday, and works through the steps: open the accounting system, find invoices past 30 days, check whether a payment arrived in the bank feed, draft a polite reminder in the customer's language, and put the drafts in a queue for your accountant to approve. It uses the same tools your staff use, through their APIs, and it writes down what it did and why. The word gets used loosely in sales pitches. When someone offers you an AI agent, ask three questions: what can it read, what can it change, and who approves the change. If the answers are vague, so is the product.

  • Works through defined steps, not open-ended goals
  • Uses your existing systems through their APIs
  • Every action written to a log you can read
  • Approval queue for anything that sends, pays or deletes

Jobs agents do well

Six tasks UAE businesses ask us to hand over

The best first job is boring, frequent, rule-based and currently done by someone more senior than it deserves.

01

Invoice chasing

Finds overdue invoices, checks the bank feed for payment, drafts reminders in English or Arabic and escalates the stubborn ones. Your accountant approves the batch in minutes.

02

Orders from email and WhatsApp

Reads purchase orders that arrive as PDFs or messages, matches products and prices, and creates draft sales orders for checking.

03

Supplier invoice matching

Compares the supplier invoice to the purchase order and delivery note, and flags price or quantity differences before payment.

04

Weekly management report

Pulls sales, stock and receivables from three systems, writes a short summary of what changed and why, and sends it on Sunday morning.

05

Lead follow-up

Drafts follow-ups for quotes that went quiet, based on what the customer asked, for a salesperson to send or edit.

06

Data clean-up

Finds duplicate customers, missing VAT numbers (TRNs) and inconsistent product names, and proposes fixes in a list you approve.

Agent or automation

You may not need an agent at all

If every step follows a fixed rule, a normal automation is cheaper, faster and more predictable. An agent earns its cost when a step needs judgement about messy input, such as reading an email that could say anything.

Many projects mix both. The automation moves the data, and the agent handles the one step that needs reading.

Safety rules

How an agent is kept on a short lead

These are design rules we set before writing code, and you sign them off.

Permissions

  • Separate system account per agent
  • Read access by default
  • Write access only to named records
  • No delete permission

Approvals

  • Anything that sends, pays or refunds is queued
  • Value limits you set per task
  • Two-person approval above a threshold

Records

  • Every step logged with its reason
  • Daily summary of what it did
  • Easy undo where the system allows

Stops

  • Stops and asks when input is unclear
  • Stops after repeated errors
  • One switch to pause it entirely
Systems it works with

It fits around what you already run

Agents connect through public APIs. In the UAE that usually means Zoho Books or Xero for accounting, Shopify or WooCommerce for orders, Google Workspace or Microsoft 365 for email and files, the WhatsApp Business Platform for messages, and sometimes a custom ERP. Where a system has no API, we look for an export, a shared inbox or a report it can email, rather than having an agent click around a screen, which breaks when the screen changes. We are an independent studio and do not claim partnership with these vendors.

  • Accounting: Zoho Books, Xero, QuickBooks
  • Selling: Shopify, WooCommerce, your ERP
  • Messages: Gmail, Outlook, WhatsApp Business Platform
  • Files: Google Drive, SharePoint, Excel

How we build one

Shadow first, then hand over

  1. Week 1

    Map the task

We sit with the person who does the job today and write each step, each rule and each exception. This document is yours even if you stop here.

  2. Week 2 to 3

    Build in shadow mode

The agent runs alongside your staff and proposes what it would do, without doing it. We compare its proposals with what really happened.

  3. Week 3 to 5

    Approve mode

It prepares the real work and a person approves each item. We tighten rules wherever approvals are being edited.

  4. Week 5 to 6

    Limits and hand-over

Low-risk steps run on their own within value limits. Staff training, the run book and the pause switch are handed over.

  5. Monthly

    Review

We review errors, edits and time saved with you and adjust. Agents need upkeep when your systems or rules change.

When an agent is the wrong answer

Say no to an agent if

01

The process is not written down

If two staff members do the job differently, the agent cannot pick the right way. Agree the process first.

02

The task happens twice a month

Building, testing and maintaining an agent costs more than the time it saves on a rare task.

03

Nobody will review its work

Agents need an owner who checks the approval queue and the monthly report. Without one, mistakes go unnoticed.

04

The systems have no way in

No API, no export and no email reports means we would be guessing. Fix the data access first.

Pricing

Priced by task, not by hype

A one-task agent is a fixed-price build. Back-office agents that span several systems are scoped after the task map in week one, which is priced separately if you stop there.

Who we are not for

Where an agent is the wrong tool.

A fair view, so you do not pay for more than you need.

01

The task is the same every time

If no judgement is needed, a plain automation is cheaper and more predictable. Business automation starts at AED 3,950.

02

You want a chatbot for customers

An agent works inside your back office. For answering customers, see the AI assistant or WhatsApp automation pages.

03

Nobody can approve its work yet

Agents draft and a person approves. If no one owns that check, start with a smaller pilot or an AI consulting session.

A one-task agent with us starts at AED 9,950 and takes 4 to 6 weeks. Back-office agents spanning several systems start at AED 29,500. Model usage is billed at cost, and prices exclude 5% VAT.

A chatbot answers questions. An agent completes a task in your systems, such as checking invoices against payments and drafting reminders, within permissions and approval rules you set.

Only if you allow it, and we recommend against it at the start. By default anything that sends, pays or refunds goes to an approval queue, with value limits you choose.

Every step is logged with its reason, so the mistake can be traced. Most errors are caught in the approval queue. We review errors monthly and change the rule or the input that caused them.

No. Agents connect to Zoho Books, Xero, Shopify, Microsoft 365, Google Workspace and similar tools through their APIs. If a system has no API, we look for exports or email reports.

Sometimes. If one person spends several hours a week on a repetitive task that involves reading emails or documents, yes. If the task follows fixed rules, a cheaper automation from AED 3,950 is the better buy.

You do. The code, prompts, rules and logs sit in accounts in your name, with documentation at handover.
