Supplier invoices
Read, checked against the purchase order and delivery note, and posted as a draft bill. Price and quantity differences are flagged before payment.
Supplier invoices, purchase orders, delivery notes and statements arrive as PDFs, scans and photos. We read them with AI, check the numbers and the TRN, and create draft entries in your accounting or ERP for a person to approve.
AI document processing reads invoices, purchase orders and other business documents, in Arabic and English, and turns them into checked data in your accounting or ERP system. It validates totals, VAT and the 15-digit TRN, and flags anything unsure for a person. Ours start at AED 7,450 and take 3 to 5 weeks, excluding 5% VAT.
Updated · Prices in AED, excluding 5% VAT
In many UAE businesses, someone spends hours each week retyping supplier invoices into Zoho Books, Xero or an ERP: supplier name, TRN, invoice number, date, each line, VAT at 5%, total. Mistakes are normal and expensive, because a wrong TRN or a VAT figure that does not add up is exactly what an auditor or the tax authority notices. Older OCR software reads characters but does not understand a document, so every new supplier layout needs a template. Language models read a document the way a person does: they find the total wherever it is on the page, in Arabic or English, and can explain what they found. We combine that with plain arithmetic checks, so the numbers have to add up before anything is posted.
Read, checked against the purchase order and delivery note, and posted as a draft bill. Price and quantity differences are flagged before payment.
POs from emails turned into draft sales orders, with products matched to your catalogue.
Quantities captured and matched to what was ordered, so short deliveries are visible.
Transactions extracted from PDF statements and matched to open invoices, ready for reconciliation.
Packing lists, bills of lading and certificates of origin read into your shipment records.
Staff photograph a receipt on WhatsApp; the amount, VAT and vendor are captured for approval.
The AI reads. Ordinary rules then check what it read. Nothing is posted just because a model was confident.
Ready-made invoice scanning apps are good and getting better. If one fits your accounting software and your documents, buy it. A built pipeline makes sense when your documents, rules or systems are unusual.
| Manual entry | Off-the-shelf scanning app | Built pipeline | |
|---|---|---|---|
| Set-up cost | None | Low, subscription | From AED 7,450 |
| Handles your odd documents | Yes, slowly | Standard invoices well, others less | Built around your documents |
| Checks against PO and delivery | If someone remembers | Sometimes | Yes, with your rules |
| Posts to your ERP or custom system | By hand | Popular accounting tools | Any system with an API |
| Running cost | Staff hours | Per document or per seat | Model usage per page, plus care |
We will recommend an app if it covers 90% of your volume. Building is worth it for the other cases.
The UAE is moving business invoices to structured electronic format, sent through Accredited Service Providers rather than as PDFs, phased in from 2026 to 2027 depending on the business. Once your suppliers send structured e-invoices, the reading step for those invoices disappears. Until then, and for suppliers outside the scheme, receipts, delivery notes, statements and foreign invoices, document processing still does the work. The checks we build, such as TRN validation and VAT arithmetic, are the same checks you will want on e-invoices. Confirm your own dates and obligations on the Ministry of Finance or FTA website, or with your accountant.
You send 100 to 200 real documents, including the messy ones. We measure field-by-field accuracy before quoting the full build.
We agree what each field maps to in your system, the checks, and what goes to a person.
Intake from email, a shared folder or WhatsApp, reading, checks, and draft entries in your accounting or ERP.
For two weeks your team enters documents as usual while the pipeline runs alongside. We compare and fix differences.
Your team approves drafts instead of typing. Monthly accuracy report by supplier and field.
The sample test in week one tells us the real accuracy on your documents, so the quote is based on evidence. Model cost per page is small and billed at cost; we show you the monthly estimate from your volume.
For example supplier invoices into Zoho Books or Xero.
Invoices, POs, delivery notes and statements, matched together.
Care from AED 395 a month covers new supplier layouts and rule changes. Prices exclude 5% VAT.
A fair view, so you do not pay for more than you need.
If staff key in fewer than about 50 documents a month, the build will take a long time to pay back. Your accounting tool's own scanning may be enough.
We read and check documents, we do not give tax advice. VAT treatment and e-invoicing rules stay with your accountant or the FTA.
The output lands in an accounting tool or ERP. If invoices live only in email and Excel, sort that first with an ERP or automation.

A pipeline for one document type, such as supplier invoices, starts at AED 7,450 and takes 3 to 5 weeks. Several document types with matching and ERP integration typically reach AED 22,500. Model usage per page is billed at cost, and prices exclude 5% VAT.
Yes, Arabic, English and mixed documents, including Arabic-Indic numerals. Poor scans and handwriting lower accuracy, which is why we test on your own sample first and send unclear documents to a person.
It depends on your documents, so we measure it on 100 to 200 of them before quoting. Arithmetic and TRN checks catch most reading errors, and nothing is posted without passing them or being approved.
Zoho Books, Xero and QuickBooks through their APIs, plus ERPs and custom systems that have an API or accept imports. Entries are created as drafts for approval.
For structured e-invoices from suppliers on the scheme, reading is no longer needed. For other suppliers, receipts, delivery notes, statements and foreign invoices, it still saves the typing. Confirm your dates with the FTA or your accountant.
Documents are processed by a provider whose business terms state data is not used for training, files stay in your storage, and logs are kept for a period you choose. Confirm sector rules with your adviser.
If an app handles most of your documents and connects to your accounting system, yes, and we will say so. A built pipeline is worth it for unusual documents, three-way matching or custom systems.
We will run them through and show you, field by field, what AI reads correctly and what it misses, before you pay for a build.
